| Hello I am a trained Medical Secretary seeking employment in Barbados. I have been there and done that in England and seek to start a new life and set down some roots in my parents homeland. I have many years experience of working within an office environment, including working front-of-house on reception dealing with enquiries from patients, general public and NHS personnel. I have experience of briefing managers, managing their diaries and working within multi-disciplinary teams. Communicate effectively with a wide variety of people – have good telephone skills and the ability to manage contact with personnel and members of the external organisations with tact and sensitivity. Good knowledge of office practices and procedures and office machine operation. 60+wpm typing speed. Computer literate – use Microsoft WORD to type up minutes of meetings and rough drafts. Use Excel to update patients’ list e.g. their name, address or to add a new patient. Use Internet and email (e.g. Outlook) on a daily basis to communicate with colleagues an action email requests as appropriate, bringing any important matters to manager’s attention. Use PowerPoint to produce slides and presentations. Assist colleagues with computer ‘troubleshooting’ enquiries. Able to work under pressure in a methodical and organised manner. Organised and set up manual and electronic filing systems, which teams have been able to access easily and which have improved record-keeping and tracing records activity. Circulated information manually and by email; typed up urgent letters/reports; followed-up stationery requests; reported estate issues; proof read and photocopied documents urgently required for meetings; dealt with enquiries by telephone and in person and greeted visitors, often to conflicting timescales. Experience of supervising staff – checked and monitored the work of temporary workers and helped where necessary and provided direction to other clerical personnel. I have worked for long periods unsupervised when managers were frequently away from the office. During these periods, I used my own initiative to decide how to deal with clients’ requests and how to prioritise my own workload. E.g created and established filing and admin systems to provide efficient and productive use of time, without reduction in quality of work or service provided – organised daily duties and responsibilities to allow for sorting, archiving and storage of files. I have kept teams informed of progress and we have worked together to utilise office systems to full potential. The filing systems have ensured consistent improvement, accuracy and availability of information for teams. I have a wide range of skills, knowledge and experience, which have been consistently applied to deliver effective administrative systems, and I believe that I have skills which can benefit the post and your organisation.
