Warehouse Manager Warehouse Manager (10-171CPM)The Warehouse Manager ensures the overall warehouse management and supervision and oversees that the staff perform correct and systematic warehouse operations for the receipt, strange and distribution of commodities. He or she provides professional development, team work and operational systems. The Warehouse Manger helps to maintain and share updates of the Warehouse stock status and distribution plans to all key team members and also regular reporting required as requested. He or she provides operational guidance and demonstrates ability to ensure regulatory compliance of operations including, clearance, receiving, inspection, storage, registration and proper recording/documentation and distribution of commodities. The Warehouse Manager is responsible for gathering and analyzing data and identifying needs. He or she will prepare timely reports or give feedback and information flow of the warehouse activates and stock status and distribution plan. The Warehouse Manager performs his or her responsibilities while developing and maintaining strong relationships with stakeholders. SPECIFIC RESPONSIBILITIES: 1. Supervise and monitor warehouse activities and processes to ensure continuous availability of pharmaceutical commodities, and related supplies including test kits, and other products related to HIV/AIDS. 2. Ensure regulatory compliance of warehouse operations including clearance, receiving, inspection, testing, storage, registration and proper recording/documentation and distribution under optimal conditions. 3. Ensure accurate, timely, and efficient shipment of all customer orders. Regularly communicate with clients concerning the timely and effective distribution of related products and resolve relevant queries. 4. Perform regular audits within the warehousing and proactively alert senior management (supervisor?) about potential storage problems and suggest alternative solutions. 5. Develop and maintain strong relationships with stakeholders. 6. Manage the optimization and maintenance of warehouse systems as required. 7. Identify, plan and document the need for short-term technical assistance (STTA) to strengthen supply chain capacity and warehouse operations and management. 8. Develop, maintain, and implement effective and relevant SOP’s for all actions related to the warehouse to include receiving of stock, returns, storage bin management, health and safety, etc. 9. Train newly appointed staff under his/her supervision on current valid standard operating procedures related to their job within a given training program period and communicated and train timely on any changes to the SOPs. 10. Create, allocated and delete storage bins as per operations and stock requirements. Apply rigorous inventory management principles. 11. Supply all required statistics and reports for the purpose of management reporting and budget control. Establish and measure key performance indicators for the business as required. 12. Supervise and manage warehousing staff performance to ensure adherence to SOPs, specific to warehouse processes including receiving, replenishment order releasing, picking, checking, packing, stock counts, health and safety, etc. 13. Ensure that materials handling processes are safe and efficient. 14. Perform other duties as assigned. QUALIFICATIONS 1. Diploma and/or at least five years of experience in warehouse management, of which at least three years must have been spent in a senior management position preferably in a pharmaceutical or public health supplies management environment. Bachelor’s degree in business with concentration in warehouse management preferred. 2. Experience working in warehouse management of perishable products a plus. 3. Ability to handle several tasks at the same time. 4. Exceptional client management skills, excellent interpersonal skills, sound judgment, communication skills and high ethical standards. 5. Knowledge of appropriate methods for data analysis and reporting. 6. Resident working experience in Haiti desired. 7. Demonstrate intermediate computer skills in Microsoft Office suite applications including, Word, Excel, Power Point. 8. In depth knowledge of warehouse management software. 9. Ability to interact at high level with clients/partners, stakeholders and relevant SLAs. 10. Ability to work in team environment, demonstrating leadership. 11. Proficiency in French, English language including reading, writing and ability to conduct business in both languages. 12. Ability to travel within Haiti. 13. Understanding of International Standards and Quality Management Systems. NB. There are no relocation or international allowances associated with this position.
